Artificial intelligence tools like ChatGPT, Claude, and Google Gemini have become genuinely useful for everyday business tasks — drafting emails, summarizing documents, answering questions, and more. Many of our clients are using them, and that is completely fine. But there are a few important things every business owner should understand before making them a regular part of your workflow.
When you use a free or individual paid subscription on any major AI platform, the text you type into the chat window — your prompts — may be stored and, depending on your settings, used to improve that platform's AI model. Free AI tools typically use your prompts and outputs for training by default, and opting out is possible but often hidden in settings and not enabled by default.
This means that if you type in a client's name, a financial figure, a business strategy, or any sensitive detail, that information could be retained by the platform. If confidential company information, client data, or strategic plans are entered without opting out of training, that information can enter training pipelines — and once embedded in a model, it cannot be fully removed, even if you delete the conversation.
The simple rule: Never type sensitive business information — client names, account numbers, tax details, financial figures, passwords, or personal identifying information — into a free AI tool.
This is the most important distinction to understand. Consumer AI services, governed by non-negotiable terms of service, treat your data as part of the product. Business and enterprise platforms, governed by legally binding data processing agreements, treat privacy as the product.

The bottom line: Paying for an individual subscription does not automatically protect your business data. The protection comes with a business or team plan — not a personal one.
Even if you are not ready to upgrade to a business plan, you can take these steps right now:
Treat the AI chat window the same way you would a public internet search — if you would not want it posted publicly, do not type it in.
Log into any AI tool you use and look for data or privacy controls. Opt out of model training if that option is available.
Do not use a personal AI account for business tasks. If your account credentials were ever compromised, your business conversations could be exposed along with them.
Copying and pasting documents, spreadsheets, or email threads into an AI tool is one of the fastest ways to accidentally share information you did not intend to.
Business plans typically include contractual data protections that personal plans do not.
